How to Write a Leave Approval Letter

What employers should include when approving an employee’s leave for travel.

Leave approval letter for visa

This letter confirms that your employer has approved your leave for specific dates. It supports your application by showing you have a job to return to.

What to include

  • Employee details – full name, job title, department
  • Employer details – company name, address, contact (HR or manager)
  • Leave dates – exact start and end date of leave
  • Purpose – e.g. “personal travel” or “tourism” (brief is enough)
  • Return – that the employee will return to work on [date] and their position is held
  • Signature – from HR or line manager, on letterhead, dated

What to avoid

  • Vague dates (“approximately”, “around”)
  • No return date or confirmation that the job is held
  • Missing company contact details

Often combined with an Employment Verification Letter. Use our templates and have the author sign on letterhead.
