Purpose of the letter
Visa officers use this letter to confirm that you work where you say you do, in what role, and that your employer approves your leave. It supports your ties to your home country.
What the letter should include
- Employee details – full name, job title, department (if relevant)
- Employer details – company name, address, contact (HR or manager)
- Employment facts – start date, employment type (full-time, part-time, contract), and optionally salary (or “as per records”)
- Leave – exact dates of leave and that the employee is authorised to be absent
- Purpose of leave – e.g. tourism, family visit (brief is enough)
- Return – that the employee will return to work after the trip (and their job remains)
Who should sign
- HR manager, line manager, or someone authorised to confirm employment
- Printed on company letterhead, with company contact details
What to avoid
- Vague dates or “approximately”
- Missing company contact details
- No mention of approved leave or return date
