How to Write a Travel Itinerary Letter

What to include in a day-by-day or summary travel itinerary.

Why an itinerary helps

An itinerary shows that your trip is planned, that your dates match your leave and accommodation, and that you are a genuine visitor.

What to include

  • Your details – name, passport number, travel dates, destination(s)
  • Day-by-day or summary – what you will do and where you will stay
  • Accommodation – hotel names, addresses, or host details for each night
  • Funding – short line that you (or your sponsor) are covering the trip

Level of detail

  • Tourism – main cities, key activities, and where you sleep each night
  • Business – meetings, conferences, or events with dates and locations
  • Family visit – where you will stay (host’s city/address) and main plans

Tips

  • Match the itinerary to your leave dates and accommodation proof
  • Keep it realistic (e.g. don’t list too much for a short trip)
  • If you don’t have fixed plans yet, a clear summary (e.g. “Paris 5 days, Lyon 3 days, return”) is better than vague wording
